This policy covers the public NeighbourFit site, the Map Intelligence lookup surface and the private-beta signup flow.

Short version: beta signup email is used for NeighbourFit beta follow-up, postcode/location lookups are used to return the requested postcode check, and bring-your-own AI keys stay in the user's browser rather than the NeighbourFit database.

Service stage

NeighbourFit is a private-beta product. The public site currently opens the Overview and Map Intelligence surfaces, plus this privacy policy and FAQ.

Private-beta features may change as the product is tested, hardened and prepared for wider access.

Beta signup data

When someone registers interest or volunteers for the beta, NeighbourFit stores the submitted email address, signup intent, locked view/path context, timestamp, user-agent information and a hashed IP signal for abuse prevention and follow-up.

Signup acknowledgements may be sent by email, and owner notifications are handled as aggregated digests rather than per-signup emails.

The main purpose is to respond to the person's request for beta updates or volunteer involvement. Service protection and abuse prevention are handled as legitimate operational interests.

Map Intelligence and postcode lookups

Postcode and location lookups are used to return the requested postcode check. Browser location, when used, is processed for that request and is not attached to the beta signup record.

Area information is based on available UK datasets and may contain gaps or methodology differences between nations. It should be read as context, not as a guarantee about a home or area.

Analytics and campaign measurement

If analytics is configured, NeighbourFit uses PostHog to understand whether public pages, Map Intelligence and beta signup flows are working.

The custom analytics events are designed to track actions such as page views, CTA clicks, postcode-lookup success or failure and beta signup completion without sending submitted email addresses or typed postcode values as event properties.

Session recording and automatic click capture are disabled in the site integration, and analytics uses in-memory browser persistence rather than a long-lived analytics cookie.

Campaign links may include UTM parameters so NeighbourFit can compare tiny ad tests and outreach without guessing.

AI keys and private-beta workflows

Bring-your-own-key AI provider keys are kept in the user's browser for the MVP and are not saved to the NeighbourFit database.

If a key is sent to a server route for a test or agent request, it is used for that request and not persisted server-side.

Private-beta account, search, billing and analysis workflows are not generally open during the public launch.

Service providers

NeighbourFit uses hosting, database, email and infrastructure providers to run the site, store beta signups and send beta-related messages.

These providers should receive only the information needed for the relevant operational purpose.

Your choices and rights

People can ask to access, correct or delete their beta signup details, or ask NeighbourFit to stop beta-update emails.

Where consent is the basis for a message, consent can be withdrawn. Where legitimate interests are relied on, people can object and NeighbourFit will review the request.

UK users can complain to the Information Commissioner's Office if they think their data has not been handled properly.

Retention and choices

Beta signup records are kept while the private beta is being run and followed up, unless removal is requested through the beta contact route available to the user.

Users can clear browser-stored AI keys from their own browser. Operational logs and abuse-prevention signals are kept only as long as needed to run and protect the service.

NeighbourFit is not a letting agent, estate agent, broker, landlord, legal adviser or financial adviser.

The product does not guarantee listing availability, rent, safety, legal compliance or suitability. Renters should verify facts with listing sources, landlords, agents and professional advisers where appropriate.
