How NeighbourFit handles data, in plain English.

This policy covers the public NeighbourFit site, Map Intelligence, accounts, optional update signups and support requests.

Short version: optional update emails are used for NeighbourFit follow-up, postcode/location lookups are used to return the requested postcode check, and bring-your-own AI keys stay in the current browser tab rather than localStorage or the NeighbourFit database.

Service stage

NeighbourFit is an open UK rental-search product. The public site includes Overview, Map Intelligence, Profile, search, guest trial, billing, download, delete, this privacy policy and FAQ.

Features may still change as the product is hardened and improved.

Optional update signups

When someone registers interest or volunteers for updates, NeighbourFit stores the submitted email address, signup intent, page context, timestamp, user-agent information and a hashed IP signal for abuse prevention and follow-up.

Signup acknowledgements may be sent by email, and owner notifications are handled as aggregated digests rather than per-signup emails.

The main purpose is to respond to the person's request for product updates or volunteer involvement. Service protection and abuse prevention are handled as legitimate operational interests.

Map Intelligence and postcode lookups

Postcode and location lookups are used to return the requested postcode check. Browser location, when used, is processed for that request and is not attached to the beta signup record.

Area information is based on available UK datasets and may contain gaps or methodology differences between nations. It should be read as context, not as a guarantee about a home or area.

Analytics and campaign measurement

If analytics is configured, NeighbourFit uses PostHog (EU) to understand whether public pages, Map Intelligence, account setup, taste, first search and optional update signups are working.

Custom events track page views, drop-off step, time to create an account, taste progress, first-search completion, checkout blockers and postcode-lookup success or failure. Submitted emails, typed postcodes, search IDs and checkout session IDs are not sent as event properties.

Session recording and automatic click capture are off. Feature-flag polling is off. Events are queued off the main thread. Analytics storage (localStorage/cookie) is used only after you accept analytics; reject or essential-only leaves PostHog uninitialised.

Campaign links may include UTM parameters so NeighbourFit can compare tiny ad tests and outreach without guessing.

AI keys and account workflows

Bring-your-own-key AI provider keys stay in the current browser tab only. They are not written to localStorage or saved to the NeighbourFit database.

If a key is sent to a server route for a test or agent request, it is used for that request and not persisted server-side.

Signed-in members can download stored account data or permanently delete the account from Profile. Download and deletion both require a one-time email code, the same style of mailbox proof. Guests must create an account first.

Service providers

NeighbourFit uses hosting, database, email and infrastructure providers to run the site, store accounts and optional update signups, and send transactional messages.

These providers should receive only the information needed for the relevant operational purpose.

Your choices and rights

Signed-in members can download their stored account data or permanently delete their account from Profile. Download and deletion both require a one-time six-digit email code. Guests cannot export or delete until they create an account. People can also ask to access, correct or delete signup details by emailing [email protected] or through the contact page.

Where consent is the basis for a message, consent can be withdrawn. Where legitimate interests are relied on, people can object and NeighbourFit will review the request.

UK users can complain to the Information Commissioner's Office if they think their data has not been handled properly.

Retention and choices

Optional update signup records are kept while follow-up is useful, unless removed with a linked account or through the contact route.

Users can clear tab-only AI keys by closing the tab or using the AI connection controls. Operational logs and abuse-prevention signals are kept only as long as needed to run and protect the service.

Important limits

NeighbourFit is not a letting agent, estate agent, broker, landlord, legal adviser or financial adviser.

The product does not guarantee listing availability, rent, safety, legal compliance or suitability. Renters should verify facts with listing sources, landlords, agents and professional advisers where appropriate.
